AI Jewellery Creator: privacy notice

This notice explains how Hamlingtons Lifestyle Limited ("Hamlington's", "we"), which operates this website, looks after the information you give us through the AI Jewellery Creator form. We are the controller of that information. This notice sits alongside our Privacy Policy, which gives our postal address. Questions: info@hamlingtons.co.uk or 01926 492444.

What we collect

Your name, email address and optional phone number; the design image(s) you upload; your description and preferences (category, metal, gemstone, budget, and any display name you choose to give); whether you asked for a quotation or for collection consideration; the date and version of the terms you accepted; and, only if you tick the optional box, your marketing choice.

Why we use it, and our lawful basis

Quotation requests: to review your design, tell you whether it can be made, give you a price and contact you. We do this to take steps you have asked for before a contract.
Collection consideration, and designs sent without a quotation request: to review the design and, if you asked, consider it for our creator collection. We rely on our legitimate interests in assessing and responding to designs people choose to send us. You can object at any time.
Confirmation and staff emails: to confirm receipt and alert our team, on the same basis as the request they relate to.
Marketing: only if you tick the optional box, with your consent. You can withdraw it at any time and your design is treated the same either way.
Accounts and legal records: where we do work with you, we keep the records the law requires.

Who handles it

Your design, images and details are stored in Cloudflare's EU data storage and are accessible only to authorised Hamlington's staff, who sign in with individual accounts. Confirmation emails are sent through Resend. Spam protection is provided by Cloudflare Turnstile. We do not sell your information. These providers may handle data outside the UK and EU while providing their service; where they do, appropriate safeguards apply.

How long we keep it

If we decide not to take a design forward, or you withdraw it, we delete the design, images and your details 90 days after that decision.
If a design has had no activity for six months, we will contact you before we close it.
If we do work with you (a quotation, a commission or the collection), we keep the records we need for that work and for legal and accounting purposes.
Backups and our email provider's logs may hold copies for a short time after deletion.
Marketing details are kept until you unsubscribe.

Your rights

You can ask us to see, correct, export or delete your information, to restrict or object to our use of it, or to withdraw marketing consent, by emailing info@hamlingtons.co.uk. If you are unhappy with how we have used your information you can complain to the Information Commissioner's Office at ico.org.uk.
